    We are growing rapidly and are currently seeking a Business Operations Specialist to support our Westminster office.

    What you'll do

    As a Business Operations Specialist, you will be a member of our service desk team and will be a crucial part of our project lifecycle.  Your tasks include, reviewing every aspect of Coalfire operations for the purpose of improving operational processes to better serve our internal customers and to make operations are more efficient.  In addition, you will be performing project management tasks for service desk related projects.  You will also be the person responsible for creating, updating, and producing all process documentation for our project lifecycle. You’ll serve as a key internal business operations liaison with the Coalfire sales, delivery and project management organizations.

    • Documents all Project Lifecycle processes
    • Analyzes how information is recorded and how the processes can be improved
    • Analyze customer needs and determines how operations can be altered to improve service to our customers and better meet their needs
    • Reengineers processes to improve efficiency
    • Promotes a smooth delivery system for products and services going to clients
    • Recommends process improvements for every day operating procedures
    • Provides support for Director of Operations
    • Supports our change management processes  
    • Responsible for creating processes and training for our project managers
    • Responsible for updating and synchronizing Rules of Engagement across, Sales, Marketing, Delivery, and Operations
    • Serve as Project Manager for all Operations projects
    • Participate in the month-end closing process
    • Responsible for validating all time entry for the company
    • Responsible for updating our product information in our Saleforce Configure Price Quote process
    • Responsible for coordinating weekly meetings and agenda for Service Desk team
    • Responsible for all Service Order updates

    What you'll bring

    • Associate degree in Management, Business or business-related field.
    • Bachelor's degree in Finance, Accounting, Operational Management, Business or equivalent combination of education and work experience.
    • 1-2 years of Project Management experience with 1 year of process management experience
    • Go-getter: this person should take initiative to do research on topics he/she doesn’t know
    • Analytical thinker, with strong business writing abilities and communication skills
    • Team player who thrives on collaboration and influencing without authority
    • Well-developed organization skills with a close attention to details.
    • Very strong knowledge of Excel

    Bonus Points

    • Experience working with sales and project management organizations
    • Experience with OpenAir, NetSuite, and Salesforce
    • Experience working in Business Operations department
